Visiting the Archives

Researchers are welcome to visit the Archives to conduct research. While our primary purpose is to serve the Sarah Lawrence College community, our collections are open to the general public. We recommend that all visitors call or write in advance to schedule an appointment.

When visiting the Archives researchers are required to sign and adhere to our Terms of Access and Use policy.

Terms of Access and Use

The following policies and procedures are designed to provide researchers with the greatest possible access to the Sarah Lawrence College Archives collections while also protecting and preserving those same materials for future use.

Registration

Anyone who registers, provides acceptable identification, and abides by the policies and rules of the Archives will be permitted to use unrestricted materials in the collection. Each reader must register on her/his first visit. In addition, readers must show photographic identification to the staff member on duty.

Terms of Access and Restrictions

Access to materials may be restricted by condition of gift or deposit; out of regard for the rights of individuals; because of their physical condition; or for other reasons. Manuscript material is unique and irreplaceable, and no use may be made of it that might jeopardize its preservation. Readers are permitted in the office and reading area only; no researchers are to enter the archival storage area. Readers may bring only pencils, notecards, paper, and other approved writing materials into the reading area. Coats, briefcases, books, and other personal possessions must be stored for the duration of the research. Materials may be used in the Archives reading area only, during regular hours. Materials must be returned to the office when the reader leaves the Archives.

Physical Protection of Materials

Readers are responsible for safeguarding all materials made available for use. Eating and Drinking are not permitted. Only approved writing materials (pencils, laptops) may be used for taking notes while using materials from the Archives. Materials may not be leaned on, written on, folded, traced, or handled in any way likely to damage them. Readers must keep papers in their folders, maintaining the order in which they are arranged and handling them as little as possible.

Copyright and Other Laws

Use of manuscripts and published materials is subject to provisions of the copyright law. Permission to examine materials, or to obtain copies, does not imply the right to publish or reproduce them, in whole or in part. Permission must be obtained from the author or anyone else who holds copyright or other publication rights. The researcher assumes full responsibility for conforming with the laws of libel, copyright, and literary property rights when quoting or publishing archival materials.

Reproduction

If photocopying or other reproduction can be done without injury to the materials and does not violate copyright or other restrictions, a single copy of any item will ordinarily be made for the reader’s personal use, upon written request and payment of the appropriate fees. Such copies may not be later duplicated, nor may they be transferred to or deposited with another person or institution without written permission from the Archives. “Flags” are available for indicating material to be photocopied. Other methods of marking materials for copying may not be used. Because staff and facilities are limited, it is not always possible to provide copying service immediately, especially if large numbers of copies are requested. Orders will be taken for later pick-up or mail delivery.

Citation

The location and description of collection materials referred to or quoted in papers (published or unpublished) should be cited accurately and completely. Readers are encouraged to provide a free copy of any publication in which Archives material is referred to or quoted. Researchers should use the following citation format when citing records or papers from the Archives: Name of Collection, Title of Document or Name of Correspondents, Dates. Sarah Lawrence College Archives. (i.e., Meyer Rabban Papers, Lois Barclay Murphy to Meyer Rabban, 1955. Sarah Lawrence College Archives).

Confidentiality of Research

Information about researchers' work in the Archives and Special Collections, including their topics and the materials used, will be kept strictly confidential.

Digital Images

All scans will be at 300 dpi and saved as .jpgs on CD unless otherwise requested.

Photographic Reproduction

All photographic reproductions must be sent off campus to a professional lab and incur a delivery fee of $15 per order. Each order is priced individually by the lab.
