Email is considered an official method for communication at Sarah Lawrence College because it delivers information in a convenient, timely, cost-effective, and environmentally-aware manner. Our policy ensures that all students have access to this important form of communication and that students can be accessed through a standardized channel by faculty and other College staff as needed.

College Use of Email

The College may send official communications to students via email. Students are responsible for the consequences of not reading, in a timely fashion, College-related communications sent to their official Sarah Lawrence College email account.

Student Email Accounts

All students are issued an official Sarah Lawrence College email account when they enroll. The email account that is created by the College is the official email address to which the College will send electronic communications. This official address will be recorded in the College’s electronic directories and records for that student.

For more information, see Student Accounts, Undergraduate and Graduate.

Expectations Regarding Student Use of Email

Students are expected to check their Sarah Lawrence College email on a frequent and consistent basis in order to remain informed of College-related communications. The College recommends checking email at least twice per week.

Appropriate Use

All use of email will be consistent with other College policies, including the College’s Acceptable Use Policy. All use of email will be consistent with local, state, and federal law.

Communications sent to a student’s official Sarah Lawrence College email address may include notification of College-related actions. In general, email is not appropriate for transmitting sensitive or confidential information.

Redirecting Email

Students may elect to redirect (auto-forward) messages sent to their Sarah Lawrence College email address. Students who redirect email from their official address to another address (such as AOL, Yahoo, Hotmail, or any email server other than the official College servers) do so at their own risk. Having email lost as a result of redirection does not absolve students from the responsibilities associated with communication sent to their official email address. The College is not responsible for the handling of email by outside vendors or unofficial servers.

Individuals using college-owned computing equipment can expect the college to take reasonable steps to ensure the security and integrity of information kept in or on, or transmitted by, that equipment. At the same time, the college reserves the right to protect the integrity of its computing enterprise. The privacy rights of individuals using college-owned equipment, therefore, have some limits. In particular, the college claims the following rights:

The right to monitor the volume (but not the content) of information communicated on campus networks.

The right to audit for the presence of commercial software packages installed on its computing equipment.

The right to examine, under specific instances where there is evidence that a violation of computing use regulations has occurred, the content of data, text, images, and/or executable computer files.

The right to implement procedures to protect the integrity of the systems and networks (e.g. virus scans).

The college cannot guarantee the security of individual offices nor can it guarantee any piece of equipment against failure. It is therefore the responsibility of the user to ensure that data and other valued information assets are adequately backed up and secured.

Computer networks are not secure. Although it is counter to policy for an unintended recipient to deliberately read another person’s electronic communications, the college cannot guarantee that an electronic message will not be read or examined by an unintended recipient, either on or off campus. It is therefore recommended that computer networks not be used to transmit information which is confidential, sensitive, or for which privacy rights might be a concern.

Official servers (email, web, nameservice, etc.) follow guidelines designed for that specific type of service and are approved by the college. Private servers are not prohibited, but must abide by standard college policies. Excessive use of resources (e.g. high network use or server utilization, and/or denial of services to others) will be subject to review and limits may be imposed. Misuse could result in denial of network services.

Sanctions

Failure to comply with guidelines for acceptable use of computer resources will normally result in a warning. Serious or multiple infractions of computer use policies may result in sanctions by the college. The due process rights of individuals in cases of possible infractions are the same as for non-computing violations of college regulations, and are described in the relevant handbooks. Some computer-use infractions may violate local, state, or federal law; civil and/or criminal sanctions may be independently applicable.

Issuance of Computer Accounts

All members of the Sarah Lawrence College faculty are provided with accounts on the mail server and academic network. Services associated with these accounts include email, file storage space on the network, and remote access to electronic library resources.

Departmental email accounts are created upon request. Individual and departmental accounts on the Web server are created upon request. The Help Desk staff provides support for all faculty computer accounts.

Termination of Computer Accounts

Upon retirement, faculty members will receive continued access to their network and email accounts as long as sufficient resources are available to support this service.

Faculty who leave the College for other reasons may retain their network privileges (including email accounts and file storage space) until August 15th of the year in which their relationship with the College is terminated. An alert will be sent via email 3 months prior to the removal of network privileges, at which time the departing faculty member is responsible for transferring data to another medium. The Academic Computing staff is available to assist with that process.

Departing faculty may opt to have their email forwarded to another address indefinitely. However, no disk space will be allocated to these individuals for the purpose of email storage, and the College cannot guarantee the delivery of email via this service.

All members of the Sarah Lawrence College student body are provided with accounts on the mail server and academic network. Services associated with these accounts include electronic mail, file storage space on the network, and remote access to electronic library resources.

Termination of Computer Accounts

We are pleased to announce that starting with the class of 2007, graduating students’ accounts will be included as part of the Gmail implementation and will be available for you to use as long as you wish.

Students may retain their network privileges (including web accounts, file storage space, and off-campus access to library resources) until May 31st of the academic year in which they graduate. An alert will be sent via email regarding the removal of network privileges, at which time graduating students are responsible for ensuring that data have been safely transferred to another medium. Members of the Help Desk are available to assist with that process.

On May 31st all material will be deleted from the H: drives of graduates. When backing up data from the H: drive, Academic Computing and the Help Desk recommends the use of Gryphon Mail, burning data to CD or copying files to a memory stick. Students may access their H: drives from off campus using FTP.

Announcement spring 2008: For pre-2007 graduates, email privileges will soon be migrated to Gryphon Mail. Updates will be emailed during the summer of 2008.
